Privacy policy
This policy explains how FWD// Go Forward collects, uses and protects your personal information when you visit gofwd.uk, become a member, book coaching or contact us. We are committed to handling your information lawfully, fairly and transparently under the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations 2003.
1. Who we are
FWD// Go Forward is run by Lee Reece, a sole trader trading as FWD// Go Forward (“we”, “us”, “our”). We are the controller of your personal information, which means we decide how and why it is used.
Email: hello@gofwd.uk
We are not required to appoint a Data Protection Officer. Lee Reece is responsible for data protection and is your point of contact for any privacy question.
2. The information we collect
Information you give us:
- Identity and contact details: name, email address, phone number, date of birth (to confirm you are 18 or over) and address where needed for billing. We use a confirmation tick-box for users to ratify they are over the age of 18 at sign-up. For under 18’s, the parent/guardian or appropriate adult must complete the form and provide their details.
- Health and fitness information: your health questionnaire answers, injuries, medical conditions, medication, pregnancy status, fitness level, goals, body measurements, progress photos and training records.
- Wellbeing information: anything you choose to tell us about your confidence, anxiety, mood or personal circumstances during coaching.
- Payment information: your Direct Debit details are collected and held by GoCardless, not by us. We see only your name, payment status and the last digits of your account.
- Messages: emails, direct messages, form submissions, community posts and feedback.
- Marketing preferences: whether you have opted in to hear from us.
Information we collect automatically:
- Website data: IP address, browser and device type, pages visited and how you got to our site, collected through cookies and similar technologies (see section 11).
- Booking data: session dates, attendance and cancellations, through our booking system.
Information from others:
- Information from social media platforms when you contact us or engage with our content there.
- Information from Gymworks Skelmersdale or another venue if they introduce you to us, with your agreement.
We do not knowingly collect information about anyone under 18. Our services are for adults only. If we learn we hold a child’s information, we will delete it unless we need to keep it for safeguarding reasons.
3. How we use your information and our lawful basis
UK law requires us to have a lawful basis for each way we use your information. These are ours:
| What we use it for | Information used | Lawful basis |
|---|---|---|
| Setting up and running your membership or coaching, including access to content and the community | Identity, contact, booking, messages | Contract |
| Taking payments and managing your account | Identity, contact, payment status | Contract |
| Designing safe training plans and checking you are fit to exercise | Health and fitness information | Explicit consent (see section 4) |
| Supporting your wellbeing during coaching | Wellbeing information | Explicit consent |
| Responding to questions, enquiries and complaints | Contact, messages | Legitimate interests (running our business and helping you) |
| Sending updates about your membership, price changes and service changes | Contact | Contract |
| Sending marketing emails and offers | Contact, marketing preferences | Consent, or for existing clients, legitimate interests with an opt-out in every message |
| Keeping accounts, tax records and insurance records | Identity, payment status, booking | Legal obligation; legitimate interests (defending legal claims) |
| Running and improving our website | Website data | Legitimate interests; consent where cookies require it |
| Protecting you or others from harm | Any relevant information | Vital interests; substantial public interest (safeguarding) — see section 5 |
| Sharing your results or story publicly, such as a testimonial or progress photo | Name, photos, results | Consent only — we will always ask first |
We do not sell your information. We do not use automated decision-making or profiling that has legal or similarly significant effects on you.
4. Your health information and the PAR-Q
Health information is “special category” data under UK GDPR and gets extra protection. We only collect it with your explicit consent, which we ask for separately when you complete your health questionnaire:
“I consent to FWD// Go Forward using the health and wellbeing information I provide to plan safe training and support my coaching, as described in the Privacy Policy.”
You can withdraw consent at any time by emailing hello@gofwd.uk. Withdrawing does not affect anything we did before. However, we may not be able to coach you safely without this information, in which case we may need to pause or end coaching.
We use health information only to keep you safe and tailor your training. We never use it for marketing, and only the people who need it to coach you can see it.
The PAR-Q (coaching clients)
Before your coaching starts, we ask you to complete our Physical Activity Readiness Questionnaire (PAR-Q) online. The form is run by Jotform and linked from our website.
- What we collect: your name, contact details and date of birth; an emergency contact, if you give one; and your answers about medical conditions, injuries, past surgery, medication, pregnancy, symptoms during exercise (such as chest pain or dizziness) and your current activity level.
- Why we collect it: to check it is safe for you to exercise, decide whether you need medical clearance first, and plan your training around any injuries or conditions.
- Our lawful basis: your explicit consent, which you give by ticking a separate, unticked box on the PAR-Q form. It is not bundled into accepting our terms. We also keep completed PAR-Qs for the period in section 8 in case we need to establish or defend a legal claim, which UK GDPR allows.
- Keeping it up to date: please tell us about any change to your health, and complete a new PAR-Q at least once every 12 months.
- Withdrawing consent: you can withdraw your consent at any time by emailing hello@gofwd.uk. We will stop using your PAR-Q to plan your training. Because we can’t coach you safely without it, we may need to pause or end your coaching. We may still keep a copy for the retention period in section 8, only so we can deal with any legal claim, and we won’t use it for anything else.
- Where it is stored: PAR-Q answers are stored by Jotform, encrypted, on servers in the EU (Frankfurt, Germany). Only Lee Reece can access them.
5. Safeguarding
We keep what you tell us confidential. In rare cases we may share information without your consent where the law allows it, if we reasonably believe:
- you or someone else is at risk of serious harm;
- a child or an adult at risk is being, or may be, abused or neglected;
- a serious crime has been, or may be, committed; or
- we are required to by law or a court order.
In these cases we would share only what is necessary, and only with the right people, such as emergency services, the police, your GP or local authority social care. Where it is safe to do so, we will talk to you first. We rely on vital interests and the safeguarding conditions in Schedule 1 of the Data Protection Act 2018. We keep a secure, confidential record of any safeguarding concern and the action we took.
6. Who we share your information with
We use trusted service providers to run our business. They process your information only on our instructions and must keep it secure.

We may also share information with:

- HMRC and other authorities where the law requires it;
- anyone else in the safeguarding situations in section 5; and
- a buyer of our business, if we ever sell it, who would have to follow this policy.
WhatsApp community: when you join our community, your name, profile photo and phone number are visible to us as admin and may be visible to other members, depending on your WhatsApp settings. WhatsApp’s own privacy policy also applies. Please don’t post anything in the community that you want kept private.
7. International transfers
Some of our providers store data outside the UK. Where they do, we make sure your information is protected by one of the safeguards UK law requires: a UK adequacy decision (including the UK–US Data Bridge for certified companies), the ICO’s International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses.
8. How long we keep your information
We keep information only as long as we need it:

| Payment, invoice and tax records | 6 years from the end of the tax year they relate to | HMRC requirement |
| Membership account and messages | 2 years after your membership ends | Customer service and disputes |
| Safeguarding records | 6 years after the last action, or longer if legally required | Protecting people at risk |
| Enquiries from people who don’t join | 12 months after last contact | Following up your enquiry |
| Marketing list | Until you unsubscribe | Your consent or opt-out |
| Progress photos and testimonials | Until you ask us to remove them | Your consent |
After these periods we securely delete or anonymise your information.
9. How we keep your information secure
We protect your information with password-protected accounts, two-step verification on our business systems, encrypted devices and limited access. We do not keep health questionnaires in personal photo galleries. Weekly check ins remain in WhatsApp business, with devices accessing this all having 2-factor authentication.
If a data breach is likely to put your rights at risk, we will report it to the ICO within 72 hours of becoming aware of it. If the risk to you is high, we will also tell you directly without undue delay.
10. Your rights
You have the right to:
- Access a copy of the information we hold about you.
- Correct information that is wrong or incomplete.
- Delete your information, where we have no legal reason to keep it.
- Restrict how we use your information in certain situations.

We will carry out reasonable and proportionate searches to find your information.
You can unsubscribe from marketing using the link in any email or by contacting us.
